Is our process even worth automating?

Sometimes not as it currently stands. If the process has steps nobody can justify, the honest first move is deleting them, not automating them faster. We map the process before recommending anything, and process mapping regularly finds that a chunk of the effort can be removed outright — which is a better outcome for you than a bigger automation project.

Use a low-code platform like Power Automate or n8n when the routing logic is genuinely straightforward and the connectors already exist for your systems — it's faster to stand up and your own team can often maintain it. Build a custom workflow engine when the logic is complex, the volume is high enough that platform limits start to bite, or the process needs to be a first-class part of your own product. We'll recommend the low-code route more often than the custom one, because it's usually the cheaper and more maintainable answer.

Where the automation is entirely internal to one platform — a Salesforce approval process, an Odoo purchase workflow — configuring that natively inside the platform is usually the right call, and it's covered by our dedicated Salesforce, SAP and Odoo development pages. Workflow automation as its own project tends to matter more once a process spans several systems, or when the process itself (document routing, cross-team approvals) doesn't live inside any one platform. The two are complementary: this layer often reads and writes to the ERP or CRM you already run rather than replacing it.

How many systems the workflow has to read from and write to, how many exception paths exist beyond the happy path, and whether the platform you choose already has connectors for your systems or needs custom integration work. A single-system approval chain is inexpensive; a cross-department process touching four systems with several escalation rules costs more because each integration point needs its own testing.

The workflow tool is given access only to the fields and systems it needs, role-based permissions control who can see or approve what, and every action is logged against a user identity rather than a shared service account. Where a workflow touches regulated data, we design the audit trail to match your retention and access requirements rather than defaulting to a generic log.

When the process changes too often to justify encoding it, or when the real problem is a missing decision rather than a missing system — automating an approval chain doesn't fix a chain where nobody actually knows who should approve what. It's also the wrong first move if the process hasn't been mapped yet; automating an undocumented process just makes the undocumented parts harder to see. We'll say so rather than automate something that isn't ready.

A single well-defined approval or routing workflow typically reaches production in four to eight weeks. Programmes automating several linked processes across multiple systems run longer, and we sequence them so the highest-value workflow ships first and the rest follow on evidence from that rollout.

That's the intention. Where we build on a low-code platform, we document the workflow logic clearly enough that your own admin can adjust routing rules or thresholds without calling us. For custom-built workflow engines, we hand over the code and documentation, and most clients keep us on only for the changes that genuinely need engineering.
