Custom Software Development

Software built around how your business actually works

When the off-the-shelf tool stops fitting, the workarounds start: exported spreadsheets, a shared inbox doing the job of a workflow, the same order re-keyed into three systems. We replace that with one system you own.

A senior engineer replies within 24 hours — not a sales rep.

The signs your tools have stopped fitting

The real process lives in spreadsheets nobody owns

The system of record says one thing; the spreadsheet the team actually works from says another. Someone maintains it manually, reconciliation happens at month end, and when that person is on leave the process quietly degrades. This is the most expensive software your business runs and it doesn't appear on any licence bill.

The same information gets typed in three times

Sales enters the order, ops re-keys it into the fulfilment tool, finance re-keys it again for invoicing. Every re-entry is a chance to transpose a number, and reconciling the three versions later takes more hours than the entry did. The tools were each fine in isolation. Together they created a job nobody wanted.

You're paying per seat to be told no

The vendor's roadmap isn't your roadmap. The feature you need is either three quarters away, priced as an enterprise tier, or has been declined outright because you're one customer with an unusual requirement. Meanwhile the licence renewal keeps growing with headcount.

The thing that runs the business can't be changed safely

It works, mostly. But the person who wrote it left, there are no tests, deployment is a manual sequence somebody remembers, and every change carries a risk of taking the business offline. So the change doesn't get made, and the gap between what the software does and what you need widens each quarter.

What we do about it

We start with your operations, not a technology choice. The goal is a system that matches how work genuinely moves through your business — and that your own team could take over tomorrow if you wanted them to.

We map the process as it is, not as the handbook says

That means sitting with the people doing the work and finding the undocumented steps — the exception that gets handled by phone call, the approval that's really a nod from one manager. Software that ignores those steps gets rejected by the people meant to use it, no matter how clean the architecture is.

One system, with the integrations already built

Your accounting package, CRM, payment provider and shipping partners stay where they are; we connect them so data moves once and moves automatically. Where a vendor API is poor we handle the retries, reconciliation and failure states rather than pretending the integration is clean.

Migration that doesn't require a shutdown weekend

Legacy replacement runs incrementally. We move one workflow at a time, run old and new in parallel where the risk warrants it, and keep a rollback available at every step. The business keeps operating while the platform underneath it changes.

You own everything, in a state you can actually use

Repository, documentation, CI/CD pipeline, infrastructure definitions — yours from day one, with the test coverage and onboarding notes that make a hand-off real rather than ceremonial. We'd rather earn the next project than hold your codebase hostage.

How we'll work together

Every stage ends with something in your hands — not a status update.

  1. 01

    Operational discovery

A short paid engagement where we work through your current process end to end — the systems, the manual steps, the exceptions and the reports people actually rely on. We come out of it knowing where the cost is hiding.

You get: A process map of the current state, a prioritised list of what the new system must replace, and a fixed scope and price for the build before you commit to it.

  2. 02

Architecture and a working thin slice

Rather than design on paper for a month, we build one complete workflow through the full stack early. It proves the integrations, the data model and the deployment path while changing course is still cheap.

You get: A running end-to-end slice in your environment, the data model, and an architecture decision record explaining the trade-offs we made and why.

  3. 03

    Build in reviewable sprints

Two-week cycles, scope you approve at the start and a working demo at the end. Your team uses each increment in a staging environment, so feedback comes from people doing the job rather than from a specification review.

You get: Working software at the end of every sprint, in an environment your staff can log into, with a running view of budget against scope.

  4. 04

    Cut over and hand over

Data migration with reconciliation checks, parallel running where the risk justifies it, and training sessions for the teams who'll live in the system daily. Then documentation good enough that we're optional.

You get: The migrated production system, admin and user documentation, runbooks, and the repository and pipeline transferred into your organisation's accounts.

Where we've applied this

Logistics

Dispatch, fleet and warehouse systems that reconcile what was ordered, what was picked and what actually arrived — including the partial deliveries the standard tool refuses to model.

Healthcare

Patient scheduling, referral tracking and internal clinical workflow tools built to the access-control and audit requirements of the regime you answer to.

Manufacturing

Production scheduling, quality records and shop-floor data capture connected to the ERP, so the plant stops running on a parallel set of clipboards and spreadsheets.

Finance

Internal underwriting, reconciliation and reporting tools where the calculation rules are yours and change frequently, which is precisely what packaged software handles badly.

Real estate

Portfolio, tenancy and maintenance platforms that tie leases, work orders and contractor scheduling into a single record instead of three vendors and an inbox.

Education

Enrolment, timetabling and student progress systems that fit an institution's own rules rather than forcing the institution to adopt a vendor's assumptions.

Questions buyers ask us

Is custom software really cheaper than paying for licences?

Not always, and we'll tell you when it isn't. If a packaged product covers 90% of what you need, buy it. Custom becomes the better economics when the workarounds have their own labour cost, when per-seat pricing scales with headcount you're planning to grow, or when the process you'd have to abandon is the thing that differentiates you. We work that comparison through in discovery rather than assuming the answer.

You'll be using a real workflow in a staging environment within the first few sprints — that's the point of building a thin slice early rather than designing on paper. A focused first release typically reaches production in a few months. A full platform replacement runs longer, but it goes live in stages so value doesn't wait for the final module.

You own it in full from day one — code, documentation, infrastructure definitions and deployment pipeline, in your accounts under your licences. Nothing in our contract stops you taking the work in-house or to another partner. If you do, we'll run the hand-over properly rather than making it awkward.

It migrates, and that's usually harder than the new build. Expect duplicate records, fields used for two purposes and history that doesn't match the current schema. We profile the data early, agree the cleaning rules with you, run trial migrations into staging and reconcile record counts and totals before cutover. Nothing goes live on a migration we haven't rehearsed.

Yes. We can embed engineers into your team and your existing process, take end-to-end ownership of a workstream your team hasn't the capacity for, or pair with your developers deliberately so knowledge transfers during the build rather than at the end of it. Whichever leaves your team stronger.

Most clients keep us on for monitoring, fixes and the steady stream of changes that any system in daily use generates. That's an agreed arrangement with response times, not an open-ended retainer. If you'd rather run it internally, the documentation and tests are written for that, and we'll support your team through the first months of owning it.

Describe the workaround your team can't get rid of

Send us a paragraph about the process that's costing you — the spreadsheet, the double entry, the system nobody dares change. A senior engineer replies within 24 hours, and the first call is a working conversation about scope, not a sales pitch.
